Administer NEC contracts properly for your clients, and your own appointment too
You may be the Project Manager on one client's ECC, the Supervisor on another's, and the Consultant under a PSC yourself. Your reputation sits on replies that are on time and correct. Contract Status keeps the procedure visible, whichever seat you are in.
Two ways consultants use it
In your client's account. Where your client runs its contracts on Contract Status, you are given a role on the contracts you act on: Project Manager, Supervisor, Quantity Surveyor or a role your client has created. You see the same Action List, and your replies sit on the client's record, not in your firm's mailbox. That is what most clients want at the end of the job.
For your own contracts. A Professional Service Contract can be recorded as just that: the pages say Consultant and Service Manager, the main Option list offers only A, C, E and G, and a Professional Service Short Contract has its own short rules. Registers the form does not use, such as Tests and Inspections, are not shown.
If you run NEC contract administration as a service across several clients, tell us when you book. We will talk through how the accounts should be set up.
A day with NEC, without it and with it
| When | Without it | With Contract Status |
|---|---|---|
| Morning | You have replies due on three contracts for two clients. Each client has a different tracker. | Each contract's Action List shows the replies due, worked out from that contract's periods. |
| Late morning | A Contractor's notification arrives in a shared mailbox. Your assistant is on leave. It is day five. | The notification has been on your list since it was submitted, and the e-mail links straight to the record. |
| Afternoon | You write a formal rejection and look up the right clause for this contract's edition. | The reply offers the outcomes the contract gives, and the clause comes from the library held for that form. |
| Later | The client wants to know the state of the contract. You spend an hour on a report. | The status report PDF is ready, and the client can see the same record. |
| At the end | You hand over a folder and hope it is complete. A dispute would mean reconstructing a timeline. | The close-out pack has the history, the timeline and the documents. |
The seats you sit in
Standard NEC4 references. Check your own contract, and your own form.
As Project Manager
One week for notified events (61.4), two weeks for quotations (62.3) and programmes (31.3), your own assessment in the time for a quotation (64.3), a certificate within a week of the assessment date (51.1).
As Supervisor
Notices of tests (41.3), instructions to search with reasons (43.1) and notifying Defects (43.2), each on its own register.
As QS
The quotation build-up on the record, one implementing quotation for each event, and a final assessment under clause 53 with a history behind it.
As the Consultant on a PSC
The compensation event limit is eight weeks under the NEC4 PSC. The Service Manager's replies, and yours, are dated on the record.
On a short appointment
The NEC4 PSSC is shorter and numbered differently. The limit for notifying an event is four weeks, and the quotation goes with the notification. Contract Status treats it as its own form.
As a subconsultant
The NEC4 Professional Service Subcontract has a seven-week limit and its own periods. The Contractor and Subcontractor words are used.
Use it to show your work
- Every reply shows who gave it and when, so your firm's performance is visible and evidenced
- Draft with AI, where your client's account has it switched on, turns your points into formal wording. You decide, read it and submit it
- A first AI review of a programme against 31.2, for you to check. The decision stays with you
- Letters as PDFs, with the letterhead and clause set by the account
- It does not decide who is right. That is still why your client hired you
